Setting up the ‘Simple’ integration type

 

Overview of the integration & account suggestions

In this guide, we suggest specific accounts you can use for setting up your accounting integration. However, every business is different, so we always recommend consulting with your accountant or bookkeeper before making final decisions. It is the company’s responsibility to ensure that bookkeeping is correct.

Page 1 – Integration Overview

➤ Check logs shows whether your daily report has been successfully transferred to your accounting system or if an error has occurred. You can also resend a previous daily report from here.

➤ Click “Import” to transfer customers, products, or product groups from e-conomic to Shopbox. Note: If the product setup in e-conomic differs, it will overwrite the current setup in Shopbox.

➤ Click “Export” to transfer customers, products, or product groups from Shopbox to e-conomic. Be sure the setup is correct to avoid errors in your accounting program.

 

Important: Fill in all fields during setup—even if they seem irrelevant.

 

Page 2 – Your Revenue

If you use e-conomic’s standard chart of accounts, you can use account 1010.

Loyalty covers all revenue generated from gift card sales.

 

If you don’t have a specific account for gift cards and use the standard chart, account 1010 can also be used here.

 

 

Page 3 – If you use departments in your accounting program

Skærmbillede 2025-07-25 kl. 12.15.32➤ The Departments page is available if you’ve created departments in e-conomic. Filling out these fields is optional, but recommended if you want Shopbox transactions to be linked to a department.

 

Page 4 – Payment types, VAT & expenses

Start by selecting the journal in the ‘Select Journal’ field where Shopbox transactions should be posted in e-conomic. You can choose freely, but we recommend using the “Daily” journal or creating a dedicated journal for Shopbox postings.


Which accounts should cash payments be posted to?

 Cash Difference: Covers any cash discrepancies found during the daily cash count.

➤ Cash Rounding: Covers rounding differences when payments are automatically rounded to the nearest whole amount.

If you’re using e-conomic’s standard chart, you can use: 5810 for Cash, 5810 or 3770 for Cash Difference and Cash Rounding

Cash to Bank: Lets you record any cash withdrawn during your daily cash count for later bank deposit.

In most cases, choose your bank account. If using the standard chart, 5810 can be used.

 

Which accounts should card payments be posted to?

You can specify different accounts for each card type for better bookkeeping clarity.

 Dankort: Account for Dankort transactions.

➤ Visa/Mastercard: Account for Visa and Mastercard transactions.

 Other: Account for other card types like Amex or Maestro.

 Tips / Card Extra Amount: Used when the terminal accepts tips or overcharges—this amount is recorded to this account.

If you don’t have separate accounts for each type and are using the standard chart, 5820 can be used.

 

Which accounts should the remaining payment types be posted to?

 Gift Cards: Choose the account where gift card payments should be recorded.

 Invoices: Select the account for invoice sales generated directly from Shopbox.

 Takeaway: Choose the account for transactions from platforms like Wolt or similar.

If you have additional payment types, they will appear under the last payment type field. Custom payment types will also appear here.

If no specific accounts exist for these, and you’re using the standard chart, 5820 can be used.

 

If you’re using Rackbeat, these two fields will be relevant for you. If not, you can simply ignore them.

➤ Correction Product is used to register cash rounding differences that may occur during sales.

 

Which accounts should be used for VAT and expenses?

Skærmbillede 2025-06-25 kl. 20.19.54 VAT Account: Typically, use VAT code U25 for sales VAT. If you have more than one VAT rate, additional fields (e.g. 0%) will appear.

 Expenses: These are purchases made during the day for your business—often paid with cash from the drawer. This prevents discrepancies in the daily closing. Choose the appropriate expense account based on payment method.

If you don’t have a specific expense account, and use the standard chart, 1310 can be used.

 Incoming VAT: Typically, you’d use VAT code I25 for purchase VAT.



How do Shopbox and e-conomic sync?

Here, you can enable or disable various features that help automate your accounting. You must choose:

 Transfer Orders: If this is enabled, transactions paid by invoice will be created as orders in e-conomic.

 Create Invoice Draft: If enabled, every invoice created in Shopbox will automatically generate a draft invoice in e-conomic. This allows you to review and send it directly from e-conomic.

 Book Invoice: If enabled, invoices created in Shopbox will be automatically booked as manual invoices in e-conomic. The invoice will be sent directly to the customer from Shopbox (not e-conomic).

 Transfer Products: If enabled, Shopbox will sync your product catalog to e-conomic.
