Integration overview & account suggestions

In this guide, we suggest specific accounts you can use for setting up your accounting integration. But remember: all businesses are different, so we always recommend consulting your accountant or bookkeeper before making final decisions. It’s the company’s responsibility to ensure correct bookkeeping.

 

Page 1 – Integration overview

➤ Check logs shows whether your daily closing has been successfully transferred to the accounting system or if an error occurred. You can also resend a previous daily closing here.

➤ Click Import to transfer customers, products, or product groups into Shopbox. If the product setup in e-conomic differs, it will overwrite your current setup in Shopbox.

➤ Click Export to transfer customers, products, or product groups from Shopbox to e-conomic. Make sure the setup is correct to avoid accounting errors.

 

Important: Fill in all setup fields – even if you think they might not apply to you.

 

Page 2 – Your Revenue

On this page, you must assign an account to each of your product categories. You can choose the same account for all categories, or specify different ones if you want to track them separately. All fields refer to your product categories, except ‘Other tags’ and Loyalty.

Skærmbillede 2025-06-25 kl. 18.51.08➤ Other tags act as a fallback. If any category is missing an account, the revenue will be posted to this account. Typically, you’ll use your main sales account here.

➤ Loyalty covers all revenue from gift card sales. You can either use a regular sales account or a dedicated gift card account.

 

 

 

 

Page 3 – If you use departments in your accounting system

Page 4 – Payment types, VAT & Expenses

Start by selecting the Journal in e-conomic where Shopbox postings should go. We recommend using the “Daily” journal or creating a dedicated one for Shopbox.

 

Which accounts should cash transactions be posted to?

 Cash Difference: Covers discrepancies found during cash counting at closing.

➤ Cash Rounding: Covers rounding adjustments when paying with cash.

Using the standard chart of accounts, you can use: 5810 for Cash, 5810 or 3770 for Cash Difference and Rounding

➤ Cash to Bank: Lets you record cash taken from the register to deposit into your bank.

You can typically select your bank account. With the standard chart, 5810 is commonly used.

 

Which accounts should card payments be posted to?

You can assign separate accounts for each card type for clearer bookkeeping.

 Dankort: Account for Dankort payments.

➤ Visa/Mastercard: Account for Visa and Mastercard payments.

 Other: For other cards like Amex or Maestro.

 Tips / Card Extra Amount: For terminals that accept tips or overcharges.

If you don’t have dedicated accounts for each card type, 5820 can be used with the standard chart.

 

 

 

Which accounts should other payment types be posted to?

 Gift Cards: For payments made with gift cards.

 Invoice: For invoice sales created in Shopbox.

 Takeaway: For payments from platforms like Wolt.

If you have more types, they’ll show here too – including custom payment types.

If no specific accounts exist, 5820 can be used with the standard chart.

 

If you’re using Rackbeat, these two fields will be relevant for you. If not, you can simply ignore them.

➤ Correction Product is used to register cash rounding differences that may occur during sales.

 

Which accounts should be used for VAT and expenses?

Skærmbillede 2025-06-25 kl. 20.19.54 VAT Account: Usually U25 for sales VAT. If you have multiple rates, extra fields will appear (e.g. 0%).

 Expenses: Purchases made during the day using cash. Prevents discrepancies. Choose the right expense account based on payment type. With the standard chart, 1310 can be used.

 Incoming VAT: Typically I25 for purchase VAT.

 

 

 

How does Shopbox sync with e-conomic?

 Transfer Orders: If this is enabled, transactions paid by invoice will be created as orders in e-conomic.

 Create Invoice Draft: When enabled, Shopbox will create invoice drafts in e-conomic automatically.

 Book Invoice: If enabled, Shopbox invoices will be posted directly to e-conomic and sent from Shopbox.

 Transfer Products: Syncs your Shopbox product catalog with e-conomic.
